Dismissal and Pick-Up Procedures & New Primary School Staff

Dear Parents,

Since we have had a number of new families since January, now would seem a good time to remind everyone about our pick-up and dismissal expectations.

At the beginning of the school year, parents can request ‘permanent’ dismissal permissions and permanent passes for their helpers, drivers and representatives.  

For changes to these permanent arrangements, parents will need to send an email to: bsmprimaryschool@britishschoolmanila.org with the following information before we can release a student:

  • Validity of the request - including the specific change and duration of change to the normal procedure
  • Name of the representative (with Family Representative ID) for walking home or for using a Grab/taxi with the student. 
  • Name of the other parents/students to carpool with.
  • Names of any other staff (apart from the class teacher and our security team) who need to know about the change for the child because it affects their activity e.g. instrument tutor, bus transport, and ASA provider. 

Upon receiving this e-mailed information, the Primary School secretaries will email our security team, the class teacher and Ms Alexis (ASA coordinator) and will include any of the other staff that parents have said need to be informed also. 

Parents should note the following: 

  1. Our line of responsibility for receiving emails about school activities is between the hours of 07.40am and the end of ASA 2 at 04.50pm. If, after ASA 2, there are additional activities which are facilitated by coaches or academies that are not directly organised by BSM, it is the parents' responsibility to email the coach and organisation. 
  2. Occasionally, students take part in a third ASA (ASA 3). These are invite-only and involve only a small number of (mainly older) students. If your child/ren takes one of these unusual ASA 3 sessions, parents need to mention specifically the ASA 3 by name and the coach who needs to be notified.
  3. Whilst the Primary School secretaries get alerts from the email constantly and respond immediately when they are able, it would be unreasonable to expect them to pick up an email and action it immediately in our busiest times of the day (which are most commonly 07.30am-08.30am and 02.00pm-04.00pm). We would consider 20-30 minutes as a reasonable response time in our busiest periods.

Please note that we will not deviate or make special arrangements from this in order to accommodate individual parents and families who wish us to bend the rules in any way.
